Who we are

At Almonte Quilters Guild (AQG) we are committed to protecting the privacy of our members and non-member participants, and support a general policy of openness about how we collect, use and disclose personal information.

The purpose of this privacy policy is to inform you about AQG’s practices relating to the collection, use and disclosure of personal information which may be collected by us through your filling out AQG forms or otherwise providing information in order to participate in AQG events, or through our website. By filling out the forms, by participating in our events, or by using our website, you consent to the collection, use and disclosure of your personal information (as defined below) in accordance with the following terms and conditions.

This Privacy Policy also explains how you can contact us if you have a question about, want to make a change to or delete any personal information that Almonte Quilters Guild may be holding about you.

The Almonte Quilters Guild is a not-for-profit Canadian volunteer organization, based in Almonte, Ontario, Canada.

What personal data we collect and why we collect it

Almonte Quilters Guild collects personal information in order to screen applicants for membership and non-member participation, and in order to help effectively and safely provide activities and events for AQG members. This information includes but is not limited to contact information (such as name, address, e-mail address and telephone numbers), and proof of identity (such as a signature).

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

By default, WordPress does not include a contact form. If you use a contact form plugin, use this subsection to note what personal data is captured when someone submits a contact form, and how long you keep it. For example, you may note that you keep contact form submissions for a certain period for customer service purposes, but you do not use the information submitted through them for marketing purposes.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

Almonte Quilters Guild does not disclose personal information to individuals, organizations or corporations at any time or for any reason, except with the consent of the individual member or as required or authorized by law.

Knowledge and Consent

Almonte Quilters Guild collects personal information about you only when you voluntarily provide it.  Typically, we will seek consent for the use or disclosure of such personal information at the time of collection.  In certain circumstances, consent may be sought after the information has been collected but before use (for example, when we want to use information for a purpose not previously identified).

When you fill out a Almonte Quilters Guild form, you imply that we may use that information for the purpose for which you filled out the form.

Almonte Quilters Guild keeps a record of members’ history with the organization, including participation in Almonte Quilters Guild activities and events.  By joining Almonte Quilters Guild, you acknowledge that we may keep this record and consent to such retention, so that if your membership becomes inactive and you later decide to rejoin, Almonte Quilters Guild will still have your previous membership history on file.  We will not use this information for any other purpose except with your consent.

You may withdraw consent at any time, subject to legal restrictions (such as information kept to protect Almonte Quilters Guild from liability) and reasonable notice.  If you wish to withdraw your consent, please email almontequiltersguild@gmail.com.  Almonte Quilters Guild does not, as a condition of participation, require you to consent to the collection, use or disclosure of information beyond that required to fulfill the explicitly specified and legitimate purposes for which the information is being provided.

How We Protect Your Personal Information

Almonte Quilters Guild makes all reasonable efforts to ensure that personal information collected from you is protected against loss and unauthorized access.  This protection applies in relation to information stored in both electronic and hard copy form.  Access to your personal information is restricted to selected members.  In addition, Almonte Quilters Guild employs generally accepted information security techniques, such as access control procedures to protect personal information against loss and unauthorized access.

Retention of Your Personal Information

Almonte Quilters Guild retains your personal information for as long as necessary to fulfill the purposes for which it was collected.   Unless you explicitly withdraw your consent, we will retain your name and membership history beyond the end of your active membership, so that we may archive your participation in the organization and retain this information for you should you decide to return at a later date.  Any other personal information will be redacted or destroyed upon your membership becoming inactive, or earlier if the information is no longer relevant to the purpose for which it was collected.

Changes to this Privacy Policy

Almonte Quilters Guild reserves the right to modify this Privacy Policy at any time. The Privacy Policy posted via the Almonte Quilters Guild website shall be deemed to be the Privacy Policy in effect.  A current copy of the Privacy Policy can be obtained at any time by contacting:  almontequiltersguild@gmail.com.

Control of Your Password

You are responsible for all actions taken with any user ID and/or password used to access the Web site. Therefore, we recommend that you not disclose your password to any third parties. If you choose to share your user ID, your password or your personal information with a third party, you are responsible for all actions resulting therefrom. If you lose control of your password, you may lose substantial control over certain personal information. Therefore, if your password has been compromised for any reason, you should immediately change your password.

Correcting or Updating Your Information

You can help us maintain the accuracy of your personal information by notifying us of any changes to this information.  You may contact Almonte Quilters Guild to request access to or correction or update of your personal information.  Members accessing their own records can make these changes within the “My Account” section of the website.
